Privacy and your files
This page explains what we collect, what we do with the files you send, and what we ask you not to send. Last updated October 21, 2026.
Who we are
NorthSort provides data cleanup, PDF to Excel conversion and AI setup for teams. NorthSort is a business name of 2743470 Ontario Inc., a company in Ontario, Canada. Our mailing address is 100 Main St E, Unit 202 #1579, Hamilton, ON L8N 3W4, Canada. Our privacy officer is responsible for how we handle personal information. Questions go to hello@northsort.com.
This website
- We set no cookies and run no advertising trackers or analytics scripts. Our hosting provider may set a security cookie, which we keep switched off where we can.
- If you switch between light mode and dark mode, your browser remembers that choice on your device. Nothing else is stored.
- The free file check runs inside your browser. The file you check is not uploaded, and we never see it.
- The quote page writes an email for you to send. Nothing you type there reaches us until you send it.
- The company that hosts this site keeps standard server logs, such as IP addresses and the pages requested, to keep the site running and secure.
When you email us
We receive your name, your email address and whatever you write or attach. We use it to answer you, to quote, and to do the work if you hire us. We do not sell your details or share them for marketing, and we do not add you to a mailing list unless you ask to join one.
The files you send for a job
- We use your files only to do your job, and we keep them confidential.
- We work on copies and deliver new files, so your originals are never changed. Send us copies, never your only copy.
- We delete your files within 30 days of your approval of the delivery. That covers our working copies and the attachments in our mailbox.
- If you send a sample and do not go ahead, we delete it within 30 days of our quote.
- We keep the messages themselves, without the files, as business records.
- We use AI tools throughout the work, and an experienced professional oversees every job and reviews every delivery. The AI tools we use are set so that your data is not used to train their models.
What not to send
Please do not send government ID numbers, full payment card numbers, health records or passwords. If they arrive anyway, we may delete them and ask for a copy without them.
Bank details that are part of the documents you send, such as statements, invoices and payment files, are fine. So are card numbers that show only the last four digits. We keep them confidential, like the rest of your data.
Who else handles data
We use a small number of service providers to run NorthSort: an email provider, AI tools and the website host. They process data for us under their own terms. Some of them process it outside Canada, including in the United States. While data is in another country, the laws of that country apply to it, and its courts, law enforcement and national security authorities may be able to access it.
If you hire us through a platform such as Upwork, that platform's own terms and privacy policy apply to what you share there.
How long we keep things
Job files, including email attachments: we delete them within 30 days after you approve the delivery. Samples from people who do not go ahead: we delete them within 30 days of our quote. Messages without their files, and business records such as quotes and invoices: we keep them as long as the law and sound bookkeeping require.
Your choices
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Write to hello@northsort.com. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
